Plan Your Group Retreat
By working well in advance, Potter’s Inn can work with you to design the ideal retreat to fit your needs, catering specifically to your group. Here’s a suggested outline to follow:
- Twelve (12) months in advance, contact Potter’s Inn to work on a tentative date for your group or organization.
- Enlist a team of volunteers to help you with your local planning. We suggest a team of 8-10 individuals who will help plan; coordinate and launch the retreat. Jobs will vary for Team Members but here are some roles needed: Chairman to coordinate with Potter’s Inn; Publicity and Promotion; Meals and Snacks; Logistics; Book Table, etc.
- Begin to promote the retreat at least 3 months in advance. Use your website, classes and Team to promote the retreat. Decide if the retreat is open to people to come who are not a part of your organization. Potter’s Inn will link your event on our website so we can have cross marketing!
- Contact Potter’s Inn for instructions on the Speaker Agreement form that needs to be filled out for honorariums, expenses and travel. Download the form here (PDF).
- One month prior to the retreat do a concerted push to promote the retreat in newsletters, web and announcements.
- One week prior to the retreat, give a final count to Potter’s Inn and allow for last minute sign ups if possible.
- The Team needs to work closely on all food/meal/snack arrangements and at least 2 weeks prior to the retreat, please review all the logistics.
- After the event, the Team should meet to evaluate, learn and process the experience.
